Information Regarding Entry Deadline and LATE Entries


Last year we said we were going to be more strict about late entries. The beginning of this year we were lenient on enforcing any late entries. We have coordinated with Elite Timing on a system for late entries. Starting immediately we will be using the following system for late entries.

Deadlines will all be set Monday at 11:59pm. After the deadline if any school calls you the meet director asking to add more athletes we will re-open the online entries at your (the meet director) request until 11:59pm on Tuesday. The re-opening fee is $50 and will be charged to the host school. If the host school wishes to pass this on to the school or schools wanting to add more athletes that is up to them to collect from the school that could not get their late entries done on time. If your meet is on Thurs-Sat and you need to re-open entries, each additional day the entries are re-open till 11:59pm will cost the host $50 each time. This is only available until 24 hours prior to your event. We need time to complete the seeding and get all the paperwork to you at that point.

Day of the meet. If any school would like to switch an athlete, change a name, add a relay. There will be a $5 charge per change to the host school. The host school can collect from the team asking for the additions and charge whatever they would like. These changes and additions will all be done before the start of the first race. If we need to hold the first race so that all changes can be made, then we will wait until everything is changed in the database. Once we start the first race there will not be any late additions to both running and field events. Write in's on field event sheets will be ignored unless they were listed in the additions before the start of the first race. Of course you can choose not to allow changes and then will have no additional fees. If you do choose to allow changes, then Half-Mile Timing will tell you the total number before leaving the facility so you know how much will be added to the invoice. We are suggesting you have a change form that your host school designer needs to sign so you can keep track of the finances if you wish.

We value all of our customers and are trying to make everyone's events as professional and efficient as possible. This process will also help with your marks being processed onto the various online entry sites faster and more accurately. Our goal is to not collect any additional money.
